Job Overview As a Remote Executive Assistant at No Typical Moments, you will play a critical role in providing administrative support to our team while working remotely. This is a fantastic opportunity to work with a dynamic and innovative company, develop your skills, and advance your career as a virtual assistant. You will be responsible for a range of administrative tasks, including email management, scheduling, and workflow management, as well as more specialized tasks such as writing and editing podcast episodes and managing company-wide announcements.

Key Responsibilities

  • Respond to emails and phone calls in a timely and professional manner
  • Schedule meetings and appointments, and manage calendars to ensure seamless coordination
  • Attend meetings and take minutes to ensure accurate record-keeping
  • Organize presentation materials, manage team birthday notices, and coordinate thank you cards for new clients, podcast guests, and referral partners
  • Write and edit weekly podcast episodes, and manage podcast communications with contractors
  • Prepare, format, and edit a range of documents, including case studies and company-wide announcements
  • Provide customer service as the first point of contact, responding to queries and resolving issues in a timely and professional manner
  • Maintain quarterly survey and client gift sending spreadsheets, and manage monthly newsletter sending and LinkedIn newsletters

Essential Qualifications

To be successful in this role, you will need to have a strong background in virtual assistance, with proven experience in providing administrative support in a remote environment. You will need to be highly organized, with excellent time management and multi-tasking skills, and be able to work independently with minimal supervision.

  • Proven experience as a Virtual Assistant or relevant role, with a strong track record of delivering high-quality work
  • Excellent communication skills, with the ability to respond to emails, phone calls, and instant messages in a timely and professional manner
  • Experience with word-processing software and spreadsheets, including Google Drive, Google Sheets, and Google Docs, as well as MS Office
  • Knowledge of online calendars and scheduling, including Google Calendar
  • Self-starter who is comfortable working in a virtual capacity and self-managing, with a strong sense of initiative and proactivity

Preferred Qualifications

  • Experience with Zoom and TeamworkPM software, or similar virtual collaboration tools
  • A roster of other virtual assistant clients or projects, demonstrating your ability to manage multiple tasks and priorities

Compensation and Benefits
