Administrative Coordinator – Product & Strategy Team

cloudIT is seeking an Administrative Coordinator to support their Product & Strategy Team and vCIOs. This role involves assisting with administrative tasks, building quotes, and maintaining documentation while providing exposure to technology and client solutions.

Responsibilities

  • Support the Product & Strategy Department and vCIOs with administrative and technical coordination
  • Assist in building quotes, proposals, and renewals — including reviewing hardware specs, licensing counts, and service details
  • Help identify correct product SKUs, server licensing needs, PC/software versions, and equipment types during quoting
  • Maintain documentation, spreadsheets, licensing data, and organized records for client solutions
  • Coordinate with engineering and service teams to understand requests and follow through on tasks
  • Support leadership with scheduling, prep work, meeting notes, and task tracking
  • Assist with data entry, reporting, and updating internal systems
  • Perform basic research on IT products (hardware, software, licensing) to support quoting and procurement
  • Provide general administrative support including email management, file organization, and status follow-ups

  • Proven self-starter that knows how to leverage available resources to get the answers they need
  • Familiarity with PC and server terminology (CPU, RAM, storage, operating systems)
  • Basic understanding of Windows Server, Microsoft 365, and software licensing concepts
  • Comfort identifying or learning about product SKUs, user licenses, hardware specs, and software versions
  • Ability to understand the context of technical requests from vCIOs, engineers, or leadership
  • Prior MSP, IT services, help desk, or procurement experience is a strong plus
