Job Summary:

We're seeking an experienced Customer Service Representative to join our part-time team at arenaflex. As a Customer Service Representative, you'll be responsible for providing top-notch customer service, managing appointments, and performing administrative tasks with accuracy and efficiency. You'll work closely with our team to ensure seamless communication, coordinate special projects, and maintain the highest level of customer satisfaction.

Key Responsibilities:

* Manage an extremely active calendar of appointments, ensuring all schedules are correct and updated daily

  • Compose and prepare correspondence, including confidential documents, with excellent writing skills
  • Arrange complex events, meetings, and sales presentations, prioritizing conflicting needs and managing deadlines
  • Perform personal errands as required, using discretion and adhering to corporate, legal, and regulatory guidelines
  • Communicate and interact effectively with diverse populations, individually or as a team member
  • Open, sort, and distribute correspondence, including email, faxes, and regular mail
  • Attend meetings and discussions as required, taking notes and tracking action points
  • Coordinate and manage special projects, working collaboratively with staff to meet deadlines
  • Ensure staff is prepared for upcoming appointments by gathering materials necessary for each meeting
  • Collect and assemble information for presentations, projects, and strategic planning
  • Prepare, edit, and draft presentations, using excellent writing and communication skills
  • Collect data and edit documents for accuracy, inputting data entry in a timely manner

Essential Qualifications:

* Strong organizational skills, with the ability to perform and prioritize multiple tasks seamlessly

  • Excellent attention to detail, with strong proofreading skills
  • Expert level written and verbal communication skills, with the ability to build relationships with clients and marketing staff
  • Demonstrated proactive approaches to problem-solving, with strong decision-making capability in a quickly changing environment
  • Emotional maturity, with the ability to handle confidential information with discretion
  • Highly resourceful team-player, with the ability to work independently and effectively in a fast-paced environment
  • Basic accounting knowledge, with familiarity with Google Spreadsheets, Excel, and Apple Software
  • Self-motivated, with flexibility to multitask and prioritize in a fast-paced environment
  • Ability to maintain regular and punctual attendance

Preferred Qualifications:

* Bachelor's degree in a related field or four or more years of experience assisting C-Level executives

  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms
  • Experience with data entry, customer service, and appointment setting
  • Strong analytical and problem-solving skills, with the ability to think critically and creatively

  • Occasionally lift medium to heavy objects
