Office Administrator - Part-time/Hybrid

About the position Flatirons Solution s is looking to hire a part-time Office Administrator in our Boulder, CO office. This role will be approximately 20 hours per week, mostly on-site in our Bouler office. Hours are flexible, but preferably in office on Tuesday, Wednesday, and Thursdays. Some hours can be worked remotely We are looking for someone who is a self-starter, who has no problem working autonomously, and can be very dependable. We have employees in the US, Europe, and India, but our Boulder office is often fairly quiet, but still needs to be managed. When you are not managing the office, you will be providing support as needed to our C-level and employees. We can offer flexibility for the right person, who is committed to getting the job done. This role could be great for a college student looking to gain some real-world business experience. In this role, you will be responsible for the following: Office management to include office operations and procedures, office supplies, shipping, and mailing. Manage beverages, snacks, and office supplies. Manage vendor relationships and coordinate necessary facility repair, maintenance, and improvements. Coordinate appointments with the building management and vendors. Plan and coordinate employee engagement events. Perform minor IT support duties. Assist with presentation preparation, including misc. document prep or design projects. Run errands (primarily in the Boulder area). Travel coordination (domestic and international). Calendar and schedule management. Assist with preparing Board of Directors meeting material. Provide support with expense report processing. Review and approve time sheets and expense reports for the executive team on behalf of the CEO. Organize and coordinate all aspects of onsite and offsite meetings. These meetings can range from small internal meetings to large annual meetings or conferences. Other administrative tasks or projects assigned as needed. Adhere to the requirements of the Quality Management System and Information Security Management System.

Requirements

  • Some college preferred (Business Management or related field).
  • 1+ year of relevant experience (office management, or administrative) preferred.
  • Advanced skills in Microsoft Office - track changes, document formatting, embedded styles and templates, etc.
  • Strong writing, editing, and communication skills.
  • Service-oriented with exceptional interpersonal skills.
  • Ability to multitask and re-prioritize quickly, including frequent context switching.
  • Detail-oriented with excellent time-management skills.
  • Discrete with sensitive and confidential information.
  • Must be able to run company errands as needed.
