Property Management Admin & Operations Assistant

  • Portfolio: ~60 residential units (including Section 8 housing)

Role Overview Raha Properties is a growing, family-owned real estate company managing approximately 60 rental homes in Houston, Texas. The owners currently manage all operations themselves and are hiring their first dedicated remote assistant to help bring structure, organization, and efficiency to the business. This role is ideal for someone who is highly organized, strong in Excel, comfortable learning property management systems, and able to grow into tenant-facing responsibilities over time. You will start by supporting back-office operations and gradually take on more direct communication with tenants, vendors, and utility providers as you become familiar with the portfolio and processes. This is a long-term, full-time role for someone who wants to build a career in U.S. property management. Core Responsibilities Property Management Systems & Data

  • Maintain and update property, tenant, and financial records inside Yardi Breeze
  • Enter rent payments, expenses, utility bills, and tenant charges
  • Keep spreadsheets and reports accurate and up to date
  • Support the transition of the portfolio into a more organized property management system
  • Track lease details, renewals, balances, and documentation

Administrative & Operations Support

  • Organize and manage email inboxes, messages, and internal records
  • Support lease administration, document filing, and compliance tracking
  • Assist with reporting for ownership using Excel and property data
  • Help keep all files, tenant records, and property information structured and easy to access

Once trained on company processes and systems, you will gradually take on: Tenant & Vendor Communication

  • Responding to tenant inquiries via phone, email, and text
  • Coordinating maintenance requests and following up with vendors
  • Communicating with utility companies, HOAs, and housing authorities
  • Supporting Section 8 documentation and correspondence
  • Providing updates to tenants on work orders, billing, and account status

Maintenance & Issue Tracking

  • Log maintenance requests and follow up until completion
  • Communicate with Spanish-speaking maintenance staff when needed
  • Track repair status, vendor responses, and tenant updates
  • Ensure nothing falls through the cracks

Listing & Marketing Support

  • Create, update, and manage rental listings on Zillow, AffordableHousing.com, and similar platforms
  • Publish and refresh property ads to keep vacancies filled
  • Monitor listing performance, inquiries, and lead volume
  • Route rental leads to the appropriate next step (showings, applications, or follow-up)
  • Ensure vacant units are always actively marketed and visible to renters

Required Skills & Experience

  • Strong Excel and data organization skills
  • Ability to learn and operate Yardi Breeze (experience with Yardi, AppFolio, Buildium, or Rent Manager is a plus)
  • Prior experience in property management, real estate, or administrative support preferred
  • Comfortable speaking with tenants, vendors, and utility companies
  • Strong written and spoken English (C1+)
  • Spanish fluency required for communication with maintenance staff
  • Highly organized, detail-oriented, and reliable

Nice to Have

  • Experience working with Section 8 / Housing Authority processes
  • Familiarity with U.S. rental workflows
  • Experience supporting small real estate portfolios or family-owned rental businesses
