Responsibilities

As a Document Controller | Data Entry Specialist, you'll be responsible for managing and entering data related to 401k statements within the financial services industry. Your primary duties will include:

  • Reviewing and interpreting 401k statements to extract relevant data with high precision
  • Entering and maintaining data in a new database with a focus on accuracy and attention to detail
  • Leveraging Google Docs for data entry and record management to ensure seamless collaboration and document control
  • Communicating effectively with the team via Slack or similar chat platforms to ensure timely processing of documents
  • Handling 7-10 documents on a daily basis, ensuring a 24-hour turnaround on processing forms
  • Providing assistance with reporting needs as required to support business objectives
  • Navigating complex documents comfortably and efficiently to ensure accurate data entry and management
  • Working flexibly with the ability to connect on East Coast time to support a global team
  • Utilizing a proprietary in-house database and PDFs for data handling and management to ensure data integrity and security

Requirements

To be successful in this role, you'll need to possess the following qualifications and skills:

  • Minimum of 1 year experience in a similar role within the Financial Services industry, with a strong understanding of 401k - RRSP Administration
  • Proven proficiency in data entry with a high level of accuracy, including experience with proprietary databases and PDFs
  • Strong experience in document control, including organizing, storing, and managing documents with attention to detail and organization
  • Excellent attention to detail and ability to multitask effectively, with a focus on meeting deadlines and delivering high-quality results
  • Proficiency in using Microsoft Office Suite, particularly Excel, with experience in data analysis and reporting
  • Strong written and verbal communication skills, with the ability to communicate effectively with the team and stakeholders
  • Ability to work independently with minimal supervision, with a strong sense of accountability and responsibility

Nice-to-Haves

While not essential, the following skills and qualifications would be beneficial in this role:

  • Experience with cloud-based document management systems and collaboration tools
  • Familiarity with financial regulations and compliance requirements
  • Strong analytical and problem-solving skills, with the ability to identify and resolve issues efficiently
  • Experience working in a remote or virtual team environment
