Operations Manager - Job Description Employment Type: Full-time, Remote Reports To: Founder & CEO Working Hours: Aligned to AEST business hours About the Opportunity Remote Office is a global talent infrastructure company helping Australian businesses build and manage high-performing offshore teams. Shift AI is an execution infrastructure company that helps businesses scale through intentional automation and AI agent deployment. Both businesses are growing. As for the Founder of the businesses, the time needs to move toward building - not running. This role exists to take the operational layer off entirely. The person in this seat will own execution across two businesses - covering operations, finance, people, compliance, and commercial function. This is not a coordination role. It is an ownership role. You will make decisions, hold accountability, and drive outcomes without needing to be managed. If you are looking for a role where your manager tells you what to do next, this is not it. What You Will Own Operations & Execution- Drive organisational performance across both businesses by coordinating with the sales team, setting targets, and tracking delivery against those targets
- Manage HR project management across the full talent lifecycle - structure, compliance, documentation, advisory, and escalation
- Handle people management matters including disputes and sensitive situations; escalate only what genuinely requires the Founder's involvement
- Be the practising custodian of organisational culture - you model it, reinforce it, and hold the team to it
- Execute financial transactions and maintain clean financial records in coordination with the accounts team
- Own client invoicing - accuracy, timeliness, and follow-through are non-negotiable
- Own all tool and software subscription management - renewals, cancellations, cost reviews
- Optimise operational costs and contribute to pricing and cost strategy across both businesses
- Formulate talent cost strategy across regions, accounting for market rates, compliance obligations, and business margins
- Handle corporate structure matters and tax planning with appropriate professional stakeholders
- Draft, review, and manage commercial contracts, contractor agreements, service agreements, and internal employment documentation
- Make sound commercial and compliance decisions within your authority; flag edge cases appropriately
- Prepare business presentations for internal and external use as required - Canva proficiency is expected
- Collaborate regularly with clients, team members, and relevant external parties in a professional and clear manner
- Fluent English - written and spoken; your communication must be clear, precise, and professional
- Demonstrable experience across operations, finance, and HR - not one of these, all of them
- A decision-maker, not a task-taker - you must be comfortable owning outcomes
- High integrity and discretion - you will be handling sensitive financial, legal, and people matters
- Systems thinker - you see processes, not just tasks; you build for durability, not convenience
- Proficiency with AI tools and automation - ClickUp, Slack, Zoho Books, and AI agents
- Experience working across multi-entity or cross-border business structures
- Familiarity with Australian business compliance context
- Contract drafting experience beyond templates
