Summary

The Payroll Specialist supports the Payroll Manager in the accurate and timely processing of employee payroll. This role is responsible for handling day-to-day payroll operations, ensuring compliance with applicable laws, and maintaining accurate payroll records. The ideal candidate is detail-oriented, highly organized, and able to work collaboratively within a team environment.

Reporting Structure

  • Reports directly to the Payroll Manager
  • Works closely with HR, Finance, and other internal departments

Key Responsibilities

  • Process payroll for employees on a regular schedule (weekly and biweekly) under the direction of the Payroll Manager
  • Review and verify payroll data, including timekeeping, wages, bonuses, and deductions
  • Maintain and update employee payroll records and ensure data accuracy
  • Assist the Payroll Manager with payroll audits, reconciliations, and reporting
  • Address and resolve payroll discrepancies and employee inquiries in a timely manner
  • Support payroll tax filings and ensure compliance with federal, state, and local regulations
  • Prepare payroll-related reports for internal stakeholders
  • Assist with year-end processes, including W-2 and 1099 preparation
  • Stay current on payroll laws, regulations, and best practices

Qualifications

  • Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field (preferred)
  • 2+ years of payroll processing experience
  • Experience working in a team or supporting a payroll function under supervision
  • Knowledge of payroll systems (e.g., ADP, Paychex, Workday, or similar)
  • Strong understanding of payroll processes and compliance requirements
  • Proficiency in Microsoft Excel
  • Excellent attention to detail and organizational skills
  • Strong communication and problem-solving abilities
  • Ability to handle confidential information with discretion
