Position Overview: We are looking for a motivated and detail-oriented ABA Intake Specialist who will serve as the first point of contact for families seeking our services. The successful candidate will have excellent organizational skills, the flexibility to work in a fast-paced, demanding environment, will be personable, superb phone skills, computerized intake experience with a high level of computer competency in general. The Intake Specialist will work in conjunction with the authorization & insurance benefits team to ensure that all referrals are processed accurately and efficiently.

Responsibilities

  • Serving as the first point of contact for prospective clients inquiring about services, providing detailed information about Move Up ABA’s programs and policies.

  • Shepherding each family through the intake process with a relentless focus on customer service and satisfaction, updating families at each step of the process.

  • Collecting key demographic and insurance information and coordinating with our billing team to verify coverage and benefits.

  • Obtaining prior authorization for services, acting as the liaison among the child’s physician, insurance company, and family to obtain all required information/documents to ensure timely and accurate authorizations.

  • Schedule all initial assessments with BCBAs

  • Documenting & Maintaining meticulous records of all interactions/communication with the child’s family and our billing team

  • Updating Central Reach with all clients data and documents

  • Schedule and conduct intake appointments with new leads, assist clinical team as needed with scheduling initial ABA assessments

  • Establish and foster relationships with pediatric groups to create a referral pipeline.

  • Collaborate with other internal departments to ensure alignment with strategic initiatives

  • Other duties and responsibilities as assigned.

  • Salary range: $55,000 - $60,000 per year.

Preferred Qualifications

  • Must have experience working on the Intake team at an ABA company

  • Professional proficiency in both English and Spanish (preferred, but not required).

  • High school diploma or GED; additional qualifications in healthcare or related fields are a plus.

  • 1-2 years of experience in a behavioral health office or similar setting, with familiarity with HIPAA regulations.

  • Excellent communication skills, time management, and a high attention to detail.

  • Familiarity with Microsoft Office products and experience using CRM software like Central Reach and Monday.com
