Job Summary

We're looking for an experienced and detail-oriented Administrative, Data Entry, and Bookkeeping Coordinator to join our virtual team. As a key member of our operations team, you will be responsible for providing administrative support, managing data entry, and ensuring accurate bookkeeping practices. Key Responsibilities

As an Administrative, Data Entry, and Bookkeeping Coordinator at arenaflex, your key responsibilities will include:

  • Validation of Customer Orders: Verify customer orders regarding quantities and quotations, and accurately enter this information into our system.
  • Purchase Order Management: Enter purchase orders into our system and submit them to suppliers in a timely manner.
  • Goods Received and Supplier Invoices: Accurately enter goods received and supplier invoices into our system, ensuring seamless integration with our ERP system.
  • Invoice Issuance: Issue invoices to customers in a timely and professional manner.
  • Account Statement Preparation: Prepare account statements for suppliers and customers, ensuring accuracy and attention to detail.
  • Payment Allocation: Allocate payments for purchase and sales invoices, ensuring timely and accurate processing.
  • ERP System Integration: Collaborate with our operations team to ensure seamless integration with our ERP system, ensuring accurate data entry and efficient processing.
  • Monthly Reporting and Coordination: Prepare and coordinate monthly reports, ensuring timely submission and review by our management team.

Essential Qualifications

To be successful in this role, you will need to possess the following essential qualifications:

  • High School Diploma or Equivalent: A high school diploma or equivalent is required, with a focus on business, accounting, or a related field.
  • Administrative Experience: A minimum of 2 years of administrative experience, with a focus on data entry, bookkeeping, and customer service.
  • ERP System Experience: Experience with ERP systems, including data entry, reporting, and integration.
  • Communication Skills: Excellent communication skills, with the ability to communicate effectively with our team, suppliers, and customers.
  • Attention to Detail: A high level of attention to detail, with a focus on accuracy and precision in data entry and bookkeeping.
  • Flexibility: A flexible schedule, with the ability to work when requested, including evenings and weekends.

Preferred Qualifications

While not essential, the following qualifications are preferred:

  • Bachelor's Degree: A bachelor's degree in business, accounting, or a related field.
  • Bookkeeping Certification: A bookkeeping certification, such as QuickBooks or Xero.
