The Product ID and Item Management Specialist is responsible for the accurate creation, maintenance, and governance of product identifiers and item data across the organization. This role ensures that all part numbers and associated product specifications are set up correctly in the ERP system, adhering to company-wide standards for formatting, unit of measure, and descriptions. The specialist updates and manages product attributes by category, ensuring consistency, compliance, and data integrity across all systems. This position plays a critical role in supporting operational efficiency, product traceability, and cross-functional collaboration by maintaining a standardized and reliable item master database.

Primary Duties/Responsibilities:

  1. New Part Number Setup
    1. Create and assign new part numbers in the ERP system according to company standards.
    2. Ensure each new item includes accurate and complete specifications, including descriptions, units of measure, vendor part number and category attributes.
  2. ERP System Maintenance
    1. Update existing part numbers and associated data in the ERP system.
    2. Maintain item master data integrity by regularly auditing and correcting inconsistencies.
  3. Product ID Standardization
    1. Enforce consistent logic and formatting for product IDs across all departments and business units.
    2. Ensure compliance with internal naming conventions and external regulatory requirements.
  4. Attribute Management
    1. Maintain and update product attributes by category (e.g., size, color, material, packaging).
    2. Collaborate with category managers and product teams to ensure attribute accuracy and relevance.
  5. Data Quality and Compliance
    1. Monitor and validate item data to ensure accuracy, completeness, and compliance with company standards.
    2. Identify and resolve data discrepancies or duplication issues.
  6. Documentation and Process Improvement
    1. Document item setup procedures and maintain standard operating procedures (SOPs).
    2. Recommend and implement improvements to item management processes and data governance practices.
  7. Cross-Functional Collaboration
    1. Work closely with procurement, supply chain, operations, and IT teams to support product launches and updates.
    2. Serve as a subject matter expert for item data and product ID management.
  8. Support Audits and Reporting
    1. Provide item data and reports for internal audits, compliance checks, and business analysis.
    2. Assist in preparing data for system migrations, upgrades, or integrations.

Additional Duties/Responsibilities:

  • Participates in and contributes to the long-range vision, strategy plans, and goals for the Company.
  • Participates in planning, revising and implementing Company growth strategies and policies.
  • Attends industry association meetings
  • Attends and participates in Company-related events
  • Attends and contributes to management and company governance meetings

Education and/or Experience:

  • Education
    1. Associate’s or Bachelor’s degree in Business Administration, Supply Chain Management, Information Systems, or a related field.
    2. Equivalent work experience in data management or ERP systems may be considered in lieu of formal education.
  • Experience
    1. 2–4 years of experience in item master data management, product setup, or ERP system administration.
    2. Experience working with ERP systems (e.g., SAP, Oracle, NetSuite, Microsoft Dynamics).
    3. Familiarity with product lifecycle management and compliance standards.
