As part of a dynamic team that values precision and efficiency, you will help shape the foundation of data‑driven decision‑making across multiple industries.

Position Overview

The Data Entry Specialist at arenaflex plays a critical role in ensuring that information flows seamlessly from physical and digital sources into our secure, cloud‑based databases. This position demands a meticulous eye for detail, a commitment to speed without sacrificing quality, and the ability to thrive both independently and within a collaborative environment. You will be responsible for converting a wide variety of documents—ranging from handwritten forms to scanned images—into structured, searchable data that powers analytics, reporting, and operational workflows.

Key Responsibilities

  • Data Capture & Input: Accurately enter information from paper documents, spreadsheets, PDFs, and image files into designated software platforms and databases.
  • Document Digitization: Scan, index, and organize physical records, ensuring each file is correctly labeled and stored for easy retrieval.
  • Quality Assurance: Perform routine verification checks, cross‑reference entries against source materials, and correct any discrepancies.
  • Record Maintenance: Keep detailed logs of data entry activities, maintain version control, and adhere to data governance policies.
  • Error Resolution: Identify, investigate, and resolve data entry errors promptly, escalating complex issues to the IT Manager when necessary.
  • Team Collaboration: Work closely with colleagues in the IT, Operations, and Business Intelligence teams to understand data requirements and support project timelines.
  • Deadline Management: Prioritize tasks to meet daily, weekly, and monthly data processing targets while maintaining high standards of accuracy.
  • Policy Compliance: Follow arenaflex’s security protocols, confidentiality agreements, and standard operating procedures for handling sensitive information.
  • Continuous Improvement: Suggest workflow enhancements, automation opportunities, and best practices to increase efficiency and reduce manual effort.

Essential Qualifications

  • High school diploma or equivalent; additional coursework in office administration, information management, or related fields is a plus.
  • 1–2 years of hands‑on experience in data entry, document processing, or a similar role within a fast‑paced environment.
  • Proven typing speed of at least 60 words per minute with a high degree of accuracy (error rate below 2%).
  • Demonstrated attention to detail, with the ability to spot inconsistencies and anomalies in large data sets.
  • Strong organizational skills, including the capacity to manage multiple data streams and maintain orderly records.
  • Ability to work autonomously while also contributing effectively to team initiatives.
  • Proficiency in Microsoft Office Suite—particularly Excel (including formulas, pivot tables, and data validation), Word, and Outlook.
  • Basic familiarity with database concepts and experience using data entry software or content management systems.

Preferred Qualifications & Skills

  • Associate’s degree or certification in data management, information technology, or a related discipline.
  • Experience with OCR (Optical Character Recognition) tools and automated data extraction technologies.
  • Knowledge of data privacy regulations such as GDPR, HIPAA, or CCPA, and an understanding of how they impact data handling practices.
  • Exposure to cloud‑based platforms (e.g., Microsoft Azure, Google Workspace) and collaborative tools like SharePoint or Teams.
  • Problem‑solving mindset with the ability to propose process improvements that reduce manual effort.
  • Excellent written and verbal communication skills for documenting procedures and interacting with cross‑functional partners.

Core Competencies for Success

  • Accuracy & Precision: Consistently deliver error‑free data entry work, recognizing that even minor mistakes can cascade into larger business impacts.
  • Time Management: Balance speed with quality, meeting tight deadlines without compromising data integrity.
  • Technical Aptitude: Quickly learn new software tools, adapt to evolving data standards, and troubleshoot minor technical issues.
  • Collaboration: Communicate effectively with teammates, share knowledge, and support collective goals.
  • Adaptability: Thrive in a dynamic environment where priorities may shift, and new data sources emerge regularly.
  • Confidentiality: Handle sensitive information responsibly, adhering to arenaflex’s strict security policies.

Physical Demands & Work Environment

While the role is primarily desk‑based, arenaflex recognizes the importance of ergonomics and employee well‑being. The typical workday involves prolonged periods of sitting, using a keyboard and mouse, and focusing on computer screens. Employees may occasionally stand, walk, or lift light items (up to 20 pounds) when organizing physical documents.

The office environment is quiet, well‑lit, and designed to minimize distractions, fostering concentration and productivity. arenaflex provides adjustable workstations, ergonomic accessories, and regular breaks to support a healthy work rhythm.

By mastering the fundamentals of data handling, you position yourself for upward mobility within arenaflex’s expanding data ecosystem.
