This is a fully remote position, allowing you to work from the comfort of your home while contributing to a mission-driven organization. Standard working hours are Monday through Friday, 9:00 AM to 6:00 PM, giving you a consistent weekday schedule with evenings and weekends free to enjoy life outside of work.

Position Overview

The Remote Customer Service and Scheduling Coordinator is a vital member of the arenaflex service operations team. In this role, you will serve as the primary point of contact for customers needing to schedule essential security service work, including fire inspections, CO (carbon monoxide) inspections, and a variety of annual recurring inspections that keep homes and businesses safe and compliant.

Beyond scheduling, you will play a critical role in responding to inbound phone calls and emails, investigating trouble notifications received from monitoring platforms such as ADC, Alarmnet, and Uplink, and working directly with customers to provide technical support, resolve concerns, and arrange service appointments. Your ability to balance efficiency with empathy, accuracy with warmth, and problem-solving with professionalism will define your success in this role.

Key Responsibilities

  • Coordinate Service Scheduling with Precision: Work directly with customers to schedule service work orders covering fire inspections, carbon monoxide inspections, and other annual recurring inspections. Maintain efficient routing for field technicians while actively reducing scheduling backlog and improving response times.
  • Manage Trouble Notifications and Technical Inquiries: Review and research customer accounts when trouble conditions are reported through monitoring platforms such as ADC, Alarmnet, Uplink, and other related systems. Proactively contact affected customers, provide knowledgeable technical support, and work toward resolution or schedule service appointments as needed, including handling warranty claims and device replacements.
  • Support Field Service Technicians: Serve as a reliable remote resource for field service technicians, assisting with scheduling adjustments, customer updates, and any coordination needs that help ensure successful service delivery.
  • Promote Referral Opportunities: Identify appropriate moments during customer interactions to discuss arenaflex’s referral program. Collect necessary information or direct customers to the company website to learn more and participate.
  • Educate Customers on New Products and Offerings: Stay informed about arenaflex’s latest products, service enhancements, and smart automation solutions. Share relevant information with customers in a way that feels helpful rather than pushy, building long-term trust and engagement.
  • Maintain Accurate Records: Document all customer interactions, scheduling changes, and service details in arenaflex’s systems with a high degree of accuracy and attention to detail.
  • Deliver Outstanding Customer Experiences: Approach every customer interaction with professionalism, empathy, and a genuine desire to help. Strive to exceed customer expectations on every call and email.

Essential Qualifications and Requirements

  • Educational Background: High School diploma or equivalent is required.
  • Relevant Experience: One to two years of customer service, scheduling, dispatch, or related experience is required. Experience in a service-oriented or technical environment is a strong plus.
  • Creative Problem-Solving Skills: The ability to receive information from multiple sources, analyze it, and piece together a clear solution. Strong critical thinking and the ability to "connect the dots" are essential.
  • Fast-Paced Performance: Comfort working in a dynamic, high-volume environment where priorities can shift quickly. The ability to remain calm, focused, and productive under pressure is critical.

  • Technical Proficiency: Excellent computer skills, strong organizational abilities, and keen attention to detail. Experience with Microsoft Dynamics 365 (D365) is a plus, but not required.
