The Role – Data Entry Specialist (Remote, Contract)

arenaflex is a leading dental AI company specializing in dental insurance claims processing. We are seeking a meticulous Data Entry Specialist to join our growing team on a 6‑8 month contract, with the possibility of extension. This remote position is open to candidates residing anywhere in the United States, though we prefer those in the Pacific or Mountain time zones to align with core business hours. Contractors will receive a dedicated Chromebook for work use and comprehensive training to ensure compliance with HIPAA regulations.

Key Responsibilities

  • Perform high‑volume data entry tasks related to dental insurance claims, ensuring each record is accurate and complete.
  • Download and upload claim images from client portals to the arenaflex portal, maintaining proper file organization and naming conventions.
  • Validate data against source documents, flagging any inconsistencies or missing information for further review.
  • Adhere strictly to HIPAA policies, safeguarding patient confidentiality and maintaining data security at all times.
  • Collaborate with the claims processing team to resolve data discrepancies and support timely claim adjudication.
  • Document workflow processes and suggest improvements to increase efficiency and reduce error rates.
  • Participate in regular training sessions and performance reviews to continuously enhance skill sets.

Essential Qualifications

  • Proven experience in data entry, preferably within healthcare or insurance environments.
  • Strong attention to detail with a demonstrated ability to maintain high accuracy under tight deadlines.
  • Familiarity with dental insurance claims terminology and workflows is a plus, though not required.
  • Reliable high‑speed internet connection and a quiet, distraction‑free workspace.
  • Commitment to complying with HIPAA regulations and protecting sensitive health information.
  • Availability to work core U.S. business hours, ideally within Pacific or Mountain time zones.
  • Capacity to work 8 hours per day, 5 days a week for the duration of the contract.

Preferred Qualifications & Skills

  • Experience with electronic health record (EHR) systems or claim management platforms.
  • Basic understanding of dental procedures and coding (e.g., CDT codes).
  • Proficiency in using cloud‑based collaboration tools (Google Workspace, Microsoft Teams, etc.).
  • Strong organizational skills and the ability to prioritize multiple tasks simultaneously.
  • Excellent written communication skills for documenting data issues and providing clear updates.
