As a fully remote Customer Service Representative – Healthcare Review Specialist, you will join our dynamic Review Team, where your customer service talents, administrative precision, and decision-making skills will directly support beneficiaries, providers, and internal stakeholders. What You’ll Do: Key Responsibilities

As a Customer Service Representative at arenaflex, you will provide comprehensive customer service support for our Review Team, contributing to appeals processing, beneficiary communications, correspondence management, and continuous quality improvement. Your day-to-day responsibilities will include:

  • Correspondence Management: Typing, merging, proofreading for clarity and accuracy, printing, and mailing correspondence to beneficiaries, providers, and other stakeholders, ensuring every letter is professional, grammatically correct, and free of errors.
  • Stakeholder Communication: Communicating verbally and in writing with external customers to furnish and request review information, always maintaining a courteous, patient, and customer-focused demeanor.
  • Relationship Building: Fostering effective working relationships between arenaflex’s internal teams and external customers, contributing to a collaborative, transparent, and supportive service environment.
  • Process Improvement: Assisting with and participating in Review Team initiatives to identify areas for potential improvement as noted in case reviews, audits, and team processes.
  • Beneficiary Helpline Support: Answering the Beneficiary Helpline through the utilization of the hunt group and available light functions, determining how best to assist each caller—whether through services offered by arenaflex or by referring them to an external agency and properly entering referrals into the CMS system.
  • Timely and Accurate Letter Delivery: Ensuring all letters are sent out in a timely manner with the correct components included, carefully reviewed for grammatical, spacing, and formatting errors.
  • Medical Records Validation: Obtaining and validating notices and all components of medical records to support the review and appeals process.
  • Appeals Intake: Providing intake for all appeals received by arenaflex, capturing complete, accurate, and organized information.
  • Customer Service Excellence: Maintaining proficiency in customer service guidelines, standards, and best practices while consistently representing arenaflex’s values.
  • Quality Control: Utilizing internal quality control tools to assess individual work and team processes, contributing to a culture of continuous improvement and operational excellence.

What You’ll Bring: Qualifications and Experience

Essential Qualifications

  • Education: High school diploma or equivalent required.
  • Communication Skills: Excellent verbal communication skills, a courteous and patient demeanor, and the ability to remain customer-oriented and composed under potentially stressful situations.
  • Written Communication: Strong grammar, punctuation, spelling, hyphenation, and overall written communication skills.
  • Customer Service Mindset: A customer-focused, results-oriented approach with the ability to build and maintain relationships with both internal and external customers. Must be flexible, collaborative, and supportive of team decisions.
  • Technical Skills: General knowledge of a PC-based computer system is desirable, along with familiarity with various software packages and the ability to learn new software tools as needed.
  • Organizational Strength: Proven ability to multi-task, prioritize assignments, and work independently with strong organizational skills.
  • Experience: Two to three years of clerical experience, including word processing, various filing systems, and telephone customer service responsibilities.

Preferred Qualifications

  • Post-high school business courses.
  • Medical terminology knowledge or coursework.
  • Prior work in a healthcare setting or experience with medical terminology.
  • Previous data entry or other clerical experience in a healthcare, insurance, or quality improvement environment.
