Position Overview

The Remote Energy Services Data Entry Clerk (Typist) is a pivotal member of arenaflex’s Energy Services Programs. In this role, you will be the guardian of our digital client records, ensuring that every piece of information is accurate, up‑to‑date, and compliant with funder requirements. Your meticulous attention to detail will enable program staff to deliver timely assistance, track outcomes, and report on program performance with confidence.

This is a full‑time, work‑from‑home position that offers a blend of independent data management and collaborative teamwork. You will interact daily with program coordinators, case managers, and external partners, using arenaflex’s suite of digital platforms to keep the organization’s data ecosystem running smoothly.

Key Responsibilities

Data Management & Record Keeping

  • Enter, verify, and maintain client status records in the arenaflex Client Service Center, ensuring that every entry reflects the most current production pipeline.
  • Audit existing records for completeness, resolve discrepancies, and flag any anomalies for follow‑up by program staff.
  • Organize both digital and paper participant files in strict accordance with arenaflex program guidelines and funder compliance standards.

Platform Administration & Communication Tracking

  • Log incoming emails, documents, and communications in the arenaflex workflow platform (formerly Monday.com) as soon as they are received.
  • Utilize the arenaflex Content Management System (CMS) and other integrated tools—such as arenaflex eConservation, arenaflex HEARTWAP, arenaflex LIHEAP, and arenaflex In Demand—to capture program‑specific data points.
  • Maintain a clear audit trail of all interactions, ensuring that every stakeholder can access a single source of truth.

Collaboration & Support

  • Partner with program staff to streamline communication, improve data flow, and enhance service delivery consistency.
  • Assist with clerical duties including filing, preparing mailings, answering phone inquiries, and providing timely coverage for remote team members.
  • Participate actively in virtual staff meetings, supervision sessions, and contractual briefings, contributing insights that improve operational efficiency.

Professional Development & Compliance

  • Complete all mandatory arenaflex training modules, agency‑wide webinars, and relevant professional development activities.
  • Uphold the highest standards of confidentiality, safeguarding client information in accordance with HIPAA, state regulations, and arenaflex policies.
  • Perform related duties as assigned, demonstrating flexibility and a proactive problem‑solving mindset.

Essential Qualifications

  • Education: Associate degree or equivalent professional experience in a related field.
  • Experience: Minimum of two years working in human services, social assistance, or a comparable environment serving low‑income individuals and families.
  • Technical Proficiency: Demonstrated ability to navigate multiple digital platforms, enter data accurately, and manage electronic filing systems.
  • Communication Skills: Strong written and verbal communication abilities; bilingual in Spanish is preferred but not required.
  • Reliability: Consistent availability for remote work, including attendance at scheduled meetings, timely email responses, and adherence to deadlines.
