Role Overview

This 6‑month remote contract position is an exciting opportunity for a motivated, detail‑oriented professional to become the front‑line voice of arenaflex. As a Customer Service Representative, you will manage order entry, invoicing, and customer inquiries with precision and empathy. You will work closely with internal sales, logistics, and fulfillment teams to ensure that every order is processed accurately, delivered on time, and that customers feel heard and valued. The role is ideal for candidates who thrive in fast‑paced environments, enjoy solving problems, and share arenaflex’s commitment to sustainability.

Key Responsibilities

  • Process incoming customer orders using the company’s ERP system, verifying product codes, pricing, discounts, and shipping preferences.
  • Generate and review invoices, ensuring accuracy, compliance with pricing agreements, and timely delivery to customers.
  • Communicate proactively with customers to confirm order details, suggest alternative ship or pick‑up dates when product availability changes, and resolve any discrepancies.
  • Respond to inbound inquiries via phone, email, and chat, providing knowledgeable assistance on product information, order status, and billing questions.
  • Maintain meticulous records of all interactions in the CRM, documenting resolutions and escalating complex issues to senior team members when necessary.
  • Collaborate with the logistics and warehouse teams to track order fulfillment, troubleshoot shipping delays, and coordinate returns or exchanges.
  • Support cross‑functional projects such as promotional roll‑outs, system upgrades, and process‑improvement initiatives as assigned.
  • Uphold arenaflex’s brand standards by delivering courteous, solution‑focused service that reflects the company’s core values of sustainability, integrity, and community.
  • Continuously seek opportunities to improve personal efficiency, such as mastering shortcuts in the ERP system or suggesting workflow enhancements.

Essential Qualifications

  • High school diploma (Grade 12) completed; post‑secondary education is considered an asset.
  • Minimum of 1–2 years of hands‑on customer service experience, preferably in a role that involved order entry or sales administration.
  • Demonstrated proficiency with ERP or similar order‑management software; experience with Microsoft Office (Excel, Word, Outlook) is a plus.
  • Typing speed of at least 45 words per minute with a high degree of accuracy.
  • Strong organizational skills and the ability to prioritize tasks to meet tight deadlines.
  • Excellent verbal and written communication skills, including active listening and clear articulation of complex information.
  • Positive, “can‑do” attitude with a collaborative spirit; comfortable working as part of a remote team.
  • Ability to remain calm and focused under pressure, handling multiple inquiries simultaneously without sacrificing quality.
  • Demonstrated alignment with arenaflex’s sustainability ethos and a genuine passion for making a positive environmental impact.

Preferred Qualifications

  • Bilingual fluency in English and French, enabling you to serve a broader customer base across Canada and the United States.
  • Previous experience in the organic food or consumer packaged goods (CPG) industry, providing insight into product cycles and seasonal demand.
  • Familiarity with CRM platforms such as Salesforce, HubSpot, or Zoho, and the ability to quickly adapt to new software tools.
  • Certification or training in customer service excellence, conflict resolution, or related fields.
  • Demonstrated track record of contributing to process‑improvement initiatives that increased efficiency or reduced errors.

Core Skills & Competencies

  • Detail Orientation: Precision in data entry, invoice generation, and order verification.
  • Problem Solving: Ability to diagnose issues, propose practical solutions, and follow through to resolution.
