About arenaflex – Pioneering Financial Operations in a Fully Remote World

arenaflex is a leading, technology‑driven financial services firm that empowers investors, advisors, and institutional partners through seamless trade processing, accurate reconciliation, and innovative data solutions. With a culture built on trust, collaboration, and continuous improvement, arenaflex has grown from a boutique operation into a global player—while keeping every employee fully remote. Our mission is to deliver flawless transaction experiences that protect client assets, reduce operational risk, and drive confidence across the entire investment lifecycle.

Why This Role Matters

As an Entry-Level Remote Data Entry & Reconciliation Specialist, you will be the backbone of arenaflex’s daily trade and transfer activities. Your meticulous attention to detail will ensure that every buy, sell, dividend, and corporate action is recorded accurately, reconciled promptly, and communicated clearly to internal teams and external partners. In a fast‑moving market, even a single data error can affect client satisfaction and regulatory compliance; your work will directly safeguard client relationships and uphold arenaflex’s reputation for operational excellence.

Key Responsibilities

  • Trade Processing & Verification: Accurately enter and validate buy‑sell transactions in client accounts, ensuring that each trade aligns with the client’s instructions and arenaflex’s internal controls.
  • Reconciliation of Breaks: Identify, investigate, and resolve discrepancies between arenaflex records and fund administrators, transfer agents, or counterparties.
  • Corporate Action Management: Process corporate events (e.g., mergers, spin‑offs, dividend distributions) and reconcile related activity to maintain correct client holdings.
  • Transfer & Settlement Support: Assist with inbound and outbound transfer requests, confirming that all documentation is complete and that settlements are posted without delay.
  • Regulatory Compliance: Perform routine checks against regulations such as SEC Rule 2340 and FINRA Rule 15c3‑3, documenting findings and escalating issues when necessary.
  • Issue Investigation & Escalation: Conduct root‑cause analysis on complex or escalated problems, collaborating with technology teams to test and validate system enhancements.
  • Client & Advisor Communication: Respond to inquiries via email, phone, Slack, Outlook, and Salesforce, providing timely updates on trade status, break resolutions, and account adjustments.
  • Documentation & Reporting: Maintain detailed logs of all activities, generate daily/weekly reconciliation reports, and contribute to audit preparation.
  • Continuous Improvement: Participate in process‑improvement initiatives, suggest automation opportunities, and help pilot new technology solutions.

Essential Qualifications

  • Bachelor’s degree or equivalent experience in Finance, Business Administration, Accounting, or a related field.
  • Strong numerical aptitude with an ability to spot inconsistencies in large data sets.
  • Excellent written and verbal communication skills; comfortable interacting with internal teams and external partners.
  • Proficiency in Microsoft Excel (pivot tables, VLOOKUP, conditional formatting) and familiarity with data‑entry platforms.
  • Basic understanding of securities trade lifecycle, corporate actions, and settlement processes.
  • Demonstrated ability to work independently in a fully remote environment while meeting strict deadlines.
  • High level of integrity and confidentiality when handling client financial information.

Preferred Qualifications

  • Previous experience in a financial services operations role, such as trade support, reconciliation, or back‑office processing.
  • Exposure to regulatory frameworks (SEC, FINRA) and experience preparing compliance documentation.
  • Familiarity with CRM tools like Salesforce and collaboration platforms such as Slack or Microsoft Teams.
  • Experience with automated reconciliation tools or scripting languages (e.g., Python, VBA) to streamline repetitive tasks.
  • Certification such as FINRA Series 7, Series 63, or a Certified Financial Services Auditor (CFSA) credential.

Core Skills & Competencies

  • Analytical Thinking: Ability to dissect complex transaction data, identify root causes, and propose corrective actions.
  • Attention to Detail: Meticulous data entry and verification to prevent errors that could affect client portfolios.
  • Problem‑Solving: Proactive approach to troubleshooting breaks and escalated issues, with a focus on timely resolution.
  • Time Management: Prioritize multiple tasks, meet daily processing deadlines, and adapt to shifting priorities.
  • Collaboration: Work effectively with cross‑functional teams—including technology, compliance, and client service—across different time zones.
  • Customer‑Centric Mindset: Understand the impact of operational accuracy on client satisfaction and act accordingly.
