Role Overview The Executive Assistant is a high-trust, high-tempo role supporting the Chief Innovation Officer, who runs day-to-day operations across various aspects of the business. This role is responsible for managing a demanding, multi-time-zone calendar, coordinating frequent travel, preparing the executive for back-to-back meetings, and keeping a constant stream of priorities organized and moving. This is not a clerical role. The Executive Assistant is a trusted partner who anticipates needs rather than waiting for instructions, exercises sound judgment with sensitive information, and operates with precision in a fast-changing environment. The executive splits time between Austin and our El Segundo, California headquarters, and works regularly with our engineering team in Eastern Europe. Early-morning calls with the European team are a standing part of the week, and this role is part of them.

Key Responsibilities

Executive & Calendar Support

  • Own and defend a complex calendar across US Central, US Pacific, and Central European time zones
  • Anticipate scheduling conflicts and resolve them before they become problems
  • Protect the executive's time and priorities across multiple businesses

Travel & Logistics

  • Coordinate frequent domestic and periodic international travel, including itineraries, ground logistics, and rapid rebooking when plans change
  • Manage expenses, reconciliations, and reporting with accuracy and discipline

Communications & Meeting Preparation

  • Join early-morning standing calls with the European team, capture notes and action items, and drive follow-through
  • Prepare briefing materials, agendas, and follow-ups for internal and external meetings
  • Draft, proof, and polish correspondence on the executive's behalf in a professional voice

Cross-Functional Coordination

  • Track commitments across teams and businesses and ensure nothing falls through the cracks
  • Coordinate with internal leaders and external partners on the executive's behalf

Confidentiality & Judgment

  • Handle confidential matters with complete discretion
  • Exercise sound, independent judgment in ambiguous situations

Required Qualifications

  • 4+ years supporting a senior executive, ideally a founder, CEO, or C-level operator
  • Genuinely tech-savvy: fast with modern software, comfortable learning new tools quickly, and able to troubleshoot independently
  • Exceptional attention to detail
  • Strong written communication and a polished, professional voice
  • A fast learner who thrives in ambiguity and a fast-changing environment
  • Calm under pressure and comfortable with early starts to support the European time zone
  • Discretion and sound judgment with sensitive information

Preferred Qualifications

  • Experience supporting an executive across multiple time zones or international operations
  • Experience in a software, technology, or high-growth environment
  • Familiarity with travel and expense tools and modern productivity software

Location & Work Environment This is a remote, work-from-home position based in Austin, Texas. Day-to-day work is performed remotely, with occasional in-person meetings in the Austin area with the executive as needed and travel to our Los Angeles headquarters up to quarterly. Early-morning availability for standing calls with the European team (as early as 7:00 AM Central) is required. This is a salaried position. While traditional Monday through Friday working hours are the norm, occasional after-hours work will be required to support the needs of the executive.
