The Role: Data Entry Coordinator – Program Impact & Alumni Outcomes

As a Part-Time Data Entry Coordinator on arenaflex's Design & Evaluation team, you will serve as the guardian of our alumni employment and earnings data. In this pivotal role, you'll ensure that arenaflex has a single, accurate "source of truth" for fellow and alumni outcomes data that drives strategic decision-making, impact reporting, and program improvement initiatives. Your meticulous attention to detail will safeguard the integrity of data that demonstrates the effectiveness of our programs and helps us secure continued support to expand our impact.

This is a non-exempt part-time position requiring 15-20 hours per week, offering a competitive hourly rate of $25. The role runs for approximately nine months from October 2024 to June 2025, with potential for extension based on organizational needs and performance. You'll work remotely from within commuting distance of one of arenaflex's program sites, collaborating with colleagues across the Design & Evaluation, Alumni, Partnerships, and Program Operations teams to ensure data quality, integrity, and accessibility.

Your Primary Responsibilities

The success of this role is measured by your ability to maintain data integrity, support comprehensive data collection efforts, and collaborate across teams to optimize processes. Your key responsibilities will be distributed across three primary areas, each critical to arenaflex's mission and operations.

Data Integrity and Quality Control (50%)

  • Maintain Data Excellence: Serve as the primary guardian of data integrity through consistent monitoring, quality control protocols, and meticulous attention to detail. Your work ensures that arenaflex's data reflects the true impact of our programs.
  • Generate and Clean Data Extracts: Regularly generate and cleanse extracts from Salesforce and other data management systems to prepare them for quality analysis. Your work will involve identifying anomalies, formatting inconsistencies, and data gaps that need attention.
  • Verify and Correct Data: Employ multiple verification methods to cross-reference and validate alumni employment outcomes data. When discrepancies are identified, you'll take initiative to correct them and fill in missing data points, ensuring our records are complete and accurate.
  • Survey-to-System Data Migration: Ensure 100% data accuracy as employment updates from program surveys in Brightspace are systematically entered into Salesforce. This critical workflow requires precision and systematic tracking to prevent data loss or errors.
  • Transition Monitoring: Monitor and validate data at the critical transition points from program to alumni stages, ensuring seamless matching of data between Brightspace LMS and Salesforce systems. This transition period is when data is most vulnerable, requiring extra vigilance.
  • Quality Assurance Documentation: Create and maintain documentation of quality control processes, error patterns identified, and corrective actions taken to establish best practices and prevent future data integrity issues.

Data Collection and Reporting (30%)

  • Administer National Data Collection: Support the comprehensive administration of national post-program outcomes data collection initiatives. This includes coordinating employment survey distribution, managing email communications, and utilizing text messaging campaigns to maximize response rates from fellows and alumni.
  • Generate Monthly Employment Verification Reports: Pull and prepare monthly reports identifying new alumni (within 12 months of program completion) who lack employment verifications. These reports will be shared with Alumni Managers to facilitate timely verification updates and complete our alumni outcomes data.
  • Salary Data Tracking and Verification: Generate monthly reports highlighting new alumni missing salary data, partnering directly with the alumni team to verify and update this critical information in Salesforce. Accurate salary data is essential for measuring the economic impact of our programs.
  • Employer Field Synchronization: Regularly monitor, update, and synchronize the "employer" fields within Salesforce to ensure consistency and accuracy in all reporting. Employer data must be standardized for effective analysis and reporting to stakeholders.
  • Response Rate Monitoring: Track and report on data collection response rates, identifying patterns in engagement and suggesting strategies to improve participation in outcomes surveys and data collection efforts.
  • Reporting Dashboard Support: Assist in maintaining and updating data dashboards that provide real-time visibility into key metrics, enabling program leaders to make data-informed decisions about program improvements and strategic initiatives.

Process Optimization and Collaboration (20%)

  • Cross-Functional Collaboration: Work closely with team members across the Alumni, Program Operations, and Partnerships teams to understand data collection needs, identify pain points in current processes, and develop collaborative solutions.
  • Process Improvement Initiatives: Identify opportunities to optimize data collection and entry processes, making recommendations to streamline workflows, reduce manual errors, and improve overall efficiency while maintaining data quality standards.
  • Team Communication: Serve as a communication bridge between the Design & Evaluation team and other departments, ensuring that data quality concerns are proactively addressed and that stakeholders have access to the information they need.
  • Training and Support: Assist in creating documentation and providing guidance to team members on proper data entry protocols, quality control procedures, and best practices for maintaining data integrity across systems.
  • Feedback Loop Creation: Help establish feedback mechanisms that allow program teams to communicate data quality concerns and suggestions for improvement to the Design & Evaluation team in a structured manner.

  • Demonstrated stakeholder management skills with the ability to plan and execute processes involving multiple stakeholders and departments. This includes proven customer service skills with solid follow-up and follow-through practices to ensure tasks are completed accurately and on time.
  • Professional discretion and integrity in handling sensitive and confidential information, with a clear understanding of data privacy protocols and ethical data handling practices. You'll be working with personal and employment information that requires the highest standards of confidentiality.

Compensation and Benefits

Geographic Requirements and Residency Policy

To ensure effective collaboration and accessibility to program sites, all arenaflex employees must reside within commuting distance (approximately two hours) of one of our program locations. This role is open to candidates residing in the Chicago, Los Angeles, Miami, New York, or Bay Area metropolitan areas, or within the states of California, Connecticut, Florida, Illinois, Indiana, New Jersey, or New York. This geographic requirement ensures that you can participate in occasional in-person meetings or events while primarily working remotely.
