Position Overview

As a Reconciliation & Trade Processing Specialist at arenaflex, you will be accountable for performing daily reconciliation, trade, and transfer tasks for Alternate Investments. Your crucial deliverables will include, but are not limited to, refining trade buy and sell transactions within client profiles, as well as identifying and resolving breaks between fund companies and transfer brokers. This role carries significant responsibility for the handling of Business Activity Events, settling and reconciling transfer activity, and processing and reconciling dividend activity.

The professional in this role may also be counted on to conduct investigation of complex and escalated issues, execute testing and validation of new technology improvements, and manage vendor adjustments. You will complete assignments across multiple operational domains—Exchanging, Dividends, Transfers, Settlement, and Business Actions—that directly impact client and advisor profiles. Your ability to translate and refine customer transactions in an excellent manner is critical, as errors may result in account attrition, client dissatisfaction, and potential liability.

This position interacts primarily with Retail and Institutional Company Teams via email, phone, Slack, Microsoft Outlook, and Salesforce. You will directly engage with and represent arenaflex in our daily interactions with fund companies, transmission agents, contra firms, and other external business partners.

Key Responsibilities

Reconciliation & Transaction Analysis

  • Perform comprehensive review of membership agreements and transmission requests
  • Identify and resolve client and advisor-level exceptions in a timely manner
  • Ensure adherence to governing commitments, including regulatory requirements such as 2340 and 15C3-3
  • Reconcile breaks related to Business Activities, Returns, and Transfers across multiple platforms
  • Conduct reconciliation across BOS (Back Office System) and Fund Firms
  • Perform thorough assessment and analysis of relevant tax codes and execute corrections of tax coding as needed

Issue Resolution & Problem Solving

  • Address internal and external system enhancements or issues that arise during daily operations
  • Investigate and determine the source of breaks between fund companies and other counterparties
  • Provide process or technology solution alternatives to management and control teams
  • Remediate transfer issues in collaboration with the Fund or Contra Company
  • Escalate complex issues appropriately while maintaining ownership until resolution

Client & Business Partner Service

  • Respond promptly and professionally to business partner inquiries regarding fund-specific requirements and eligibility
  • Provide consistent follow-up on Alternate Investment transactions to accelerate client requests and remediate any issues that are not in good order
  • Ensure prompt and accurate completion of client investing and dividend requests
  • Serve as a reliable point of contact for fund companies, transmission agents, and external partners
  • Maintain detailed documentation of all client interactions and resolutions

Essential Qualifications

  • Educational Background: Bachelor's degree in Finance, Accounting, Business Administration, or a related field is preferred. Equivalent combination of education and relevant work experience will also be considered.
  • Experience: Minimum of 1-2 years of experience in financial operations, trade processing, reconciliation, or a related back-office function. Prior experience with Alternate Investments, mutual funds, or brokerage operations is highly desirable.
  • Technical Proficiency: Strong working knowledge of Microsoft Office Suite, particularly Excel (including pivot tables, VLOOKUP, and data analysis functions). Experience with Salesforce, Bloomberg, or other financial platforms is a plus.
  • Typing & Data Entry Skills: Exceptional typing speed (minimum 50-60 WPM) with a demonstrated commitment to accuracy. You should be comfortable spending extended periods entering and reviewing data.
  • Attention to Detail: An unwavering commitment to precision and the ability to identify discrepancies in complex datasets.
  • Communication Skills: Excellent verbal and written communication abilities, with the capacity to explain complex issues clearly and professionally.
  • Regulatory Knowledge: Familiarity with financial regulations, including SEC Rule 15c3-3 and other governing commitments, is strongly preferred.

Preferred Qualifications

  • Prior experience working in a remote capacity with demonstrated self-discipline and productivity
  • Experience with trade reconciliation systems and fund accounting platforms
  • Knowledge of tax coding related to investment transactions and dividends
  • Familiarity with clearing and settlement processes in the brokerage industry
  • Experience working with institutional and retail client accounts
  • Understanding of business activity events and their impact on client portfolios
