Key Responsibilities of the Customer Experience Specialist

As a Remote Seasonal Customer Experience Specialist at arenaflex, you will serve as the frontline ambassador for our family of beloved brands. Your day-to-day responsibilities will include, but are not limited to, the following core functions:

  • Customer Inquiry Resolution: Address inbound customer questions and concerns with empathy, accuracy, and professionalism, covering topics such as product details, delivery timelines, order status, and account information
  • Order Placement and Modification: Process new orders, review available alternatives when items are out of stock, and place orders on behalf of customers while ensuring complete satisfaction
  • Returns and Exchanges: Process return requests efficiently, issue replacements or credits for damaged or defective merchandise, and coordinate with relevant departments to ensure timely resolution
  • Inventory Verification: Check real-time inventory levels to provide accurate product availability information and recommend suitable substitutions when necessary
  • Delivery Coordination: Schedule deliveries, provide tracking updates, and communicate proactively with customers about their shipments
  • Conflict Resolution and Negotiation: Successfully negotiate solutions and de-escalate challenging situations using company-established guidelines, balancing customer satisfaction with business objectives
  • Documentation: Accurately document all customer interactions, resolutions, and follow-up actions in our CRM system
  • Continuous Improvement: Participate in ongoing training sessions, team meetings, and quality assurance programs to continuously enhance your skills and service delivery

Essential Qualifications and Requirements

Mandatory Training and Availability Requirements

  • Attendance Policy: 100% attendance is required throughout the entire training period; any absences may impact employment status

Because this is a remote position, arenaflex requires all Customer Experience Specialists to have a fully equipped home office that meets specific technical standards. Please review the following requirements carefully:

You must have your own full-size or all-in-one desktop personal computer, or a traditional laptop personal computer that meets the minimum specifications outlined below. Please note that the following devices are NOT acceptable: tablet-based or convertible personal computers (such as Microsoft Surface or Surface Book), Chromebooks, Steam Decks, and mobile phones (unless required for two-factor authentication purposes).

  • Windows 11 Home, Windows 11 Pro, or Windows 11 Pro for Workstations
  • Mac OS 12 (Monterey) or newer

Important Operating System Notes: Education and Enterprise editions of Windows are not licensed for individual use and therefore not acceptable. Windows Insider versions are also not supported, as they are not considered stable production releases. Additionally, arenaflex does not support Windows 95, 98, ME, 2000, XP, Vista, Windows 7, Windows 8, or Windows 8.1.

Software and Security Requirements

Your computer must be fully updated with all current Windows updates and all optional updates, as these device-specific updates can affect audio quality and overall system performance. You must also have an active anti-virus program running on your computer. Microsoft Defender, which is pre-installed on most Windows-based computers, is sufficient to meet this requirement.

Web Browser Requirements

Our internal systems work best using Google Chrome. While other browsers may function, arenaflex may ask you to install Chrome if compatibility issues arise.

Hardware Specifications

  • Processor: A modern multi-core processor capable of handling multitasking efficiently
  • Random Access Memory (RAM): Minimum of 6 GB RAM, though 8 GB or higher is strongly recommended to support our work environment
  • Internal Storage: Sufficient free space must be available to install and effectively run all required systems
  • Display Resolution: Minimum optimal screen resolution of 1920x1080 for clear visibility of applications and customer information

Required Peripherals and Accessories

  • External mouse: Wired mouse preferred for reliability and consistent performance
  • External keyboard: Wired keyboard preferred to ensure consistent input
  • Webcam: Required for training sessions, team meetings, and occasional video interactions
  • USB headset: A wired USB headset is required; wireless and Bluetooth headsets are NOT acceptable. Unified Communications-style headsets or compatible gaming headsets are acceptable

  • Logitech H390 (when used with Windows 11-based computers)
  • NUBOW

Additional Note: Using built-in laptop trackpads is not recommended; an external mouse is strongly preferred for productivity and ergonomic reasons.

Internet Speed Requirements

Your home internet connection will be tested using the arenaflex System Checker during the pre-hire process and periodically throughout your employment. While you may examine your speeds at speedof.me, please note that this is not an official evaluation of your connection. Internet-based speed tests measure speeds to your residence and may not accurately reflect actual speeds reaching your computer due to router placement, network congestion, or other environmental factors.
