Key Responsibilities

Administrative & Data Management

  • Maintain and continuously update the talent information database in Streak, ensuring accuracy and compliance with privacy standards.
  • Coordinate the flow of gifts, research materials, approvals, purchases, and fulfillment for talent‑related initiatives.
  • Curate and manage the vendor directory, status reports, and internal documentation to support seamless operations.
  • Oversee talent‑related financial processes, including processing p‑card transactions, reconciling expenses, and preparing detailed sales split reports.
  • Track and report on key performance indicators (KPIs) related to talent engagement, event ROI, and vendor performance.

Talent & VIP Support

  • Provide logistical support for talent activities tied to brand campaigns, special productions, and high‑profile events such as arenaflex‑hosted premieres, award shows, and corporate gatherings.
  • Assist in coordinating talent support for VIP experiences, including high‑visibility personalities (e.g., major music artists, influencers, and cultural icons).
  • Manage the scheduling, travel arrangements, and on‑site support for talent‑related experiences such as dinner events, theme‑park visits, and exclusive screenings.
  • Serve as the primary point of contact for talent requests, ensuring rapid response times and proactive problem‑solving.

Event Coordination & Guest Management

  • Organize guest lists for premieres, award ceremonies, and special events, handling invitation distribution, RSVP tracking, and seating assignments.
  • Develop and execute e‑invite campaigns, monitor guest confirmations, and maintain real‑time updates to event dashboards.
  • Provide on‑site assistance during events, supporting General Admission (GA) and VIP registration, crowd flow, and troubleshooting any last‑minute issues.
  • Collaborate with cross‑functional teams—including marketing, production, and legal—to ensure event compliance and brand consistency.

Essential Qualifications

  • Minimum of 2 years of professional experience in a fast‑paced environment, preferably within talent relations, event coordination, or entertainment administration.
