The Remote Travel Data Entry Specialist is the backbone of our itinerary creation process. Key Responsibilities

Client Consultation & Preference Capture

  • Engage with prospective and existing clients via phone, email, or video conference to uncover travel aspirations, budget parameters, and special requirements.
  • Document nuanced preferences—such as dietary restrictions, accessibility needs, and preferred activity styles—in our CRM with meticulous accuracy.
  • Collaborate with senior travel advisors to translate client insights into actionable data points that drive itinerary design.

Itinerary Planning Support

  • Input detailed itinerary components—including flights, accommodations, ground transportation, tours, and dining reservations—into our proprietary booking system.
  • Cross‑check all entries for consistency, ensuring dates, times, and locations align perfectly across multiple time zones.
  • Maintain a master spreadsheet of all client itineraries, providing real‑time updates to the travel team as changes occur.

Booking & Reservation Management

  • Execute reservation entries for flights, hotels, car rentals, and experiential activities using approved supplier portals.
  • Verify confirmation numbers, ticketing details, and payment statuses, flagging any discrepancies for immediate resolution.
  • Secure ancillary services such as travel insurance, airport transfers, and special requests (e.g., wheelchair assistance, pet travel arrangements).

Destination Knowledge & Trend Monitoring

  • Stay abreast of global travel trends, visa regulations, health advisories, and local customs to provide accurate guidance to clients.
  • Maintain an internal knowledge base of destination highlights, seasonal events, and exclusive supplier relationships.
  • Share timely updates with the broader arenaflex team to enhance collective expertise.

Client Communication & Issue Resolution

  • Provide proactive updates to clients throughout the booking lifecycle, confirming reservations and addressing any emerging concerns.
  • Act as the first point of contact for unexpected changes—such as flight cancellations or hotel overbookings—coordinating swift solutions with suppliers.
  • Document all client interactions in the CRM to ensure a transparent record of communication.

Sales Support & Revenue Generation

  • Identify opportunities to upsell premium services, upgrades, and exclusive experiences based on client preferences captured during data entry.
