We are currently seeking a meticulous, customer-focused, and detail-driven Customer Service & Order Processing Specialist to join our distribution sales support team. This role is ideal for a professional who thrives in a structured, fast-paced manufacturing environment and takes pride in ensuring every order flows seamlessly from the point of sale through to production and fulfillment.
Position Summary
The Customer Service & Order Processing Specialist serves as a vital link between account managers, customers, and the production team at arenaflex. Your primary responsibility will be to process customer orders with precision, manage documentation, verify pricing and purchase order details, and provide responsive customer support that keeps the workflow moving efficiently. This position plays a critical role in converting reference materials and quotations into active production orders, ensuring that every customer interaction reflects the professionalism and reliability that arenaflex is known for.
Working closely with the Director of Sales, account managers, and cross-functional departments, you will have the opportunity to broaden your skill set, develop professionally, and contribute meaningfully to a high-functioning sales support operation.
Key Responsibilities
- Operate and maintain proficiency in the arenaflex order entry and quotation operating system to process incoming customer orders accurately and efficiently.
- Enter orders generated by account managers, prepare job tickets, and coordinate handoffs with the scheduling team to initiate the production process.
- Audit and verify all orders exceeding $5,000 to ensure complete accuracy of pricing, quantities, customer specifications, and delivery details.
- Document and coordinate inventory releases, ensuring alignment with current stock levels and production timelines.
- File and archive tickets for all completed jobs, maintaining a clean and accessible record-keeping system.
- Demonstrate a thorough understanding of production capabilities across all product lines handled by arenaflex, enabling informed conversations with customers and internal stakeholders.
- Evaluate and verify that purchase order correspondence matches the original quotation, proactively communicating with account managers to resolve discrepancies and maintain workflow momentum.
- Prepare and organize materials for return to customers as needed, ensuring accurate documentation and timely processing.
- Properly document and handle hazardous materials (Haz-Mat) orders in compliance with company and regulatory standards.
- Order and manage marketing materials to support sales initiatives and customer engagement efforts.
- Maintain internal forms and documents including custom labels, bills of lading, job tickets, invoices, and related records.
- Manage FSI and FSC records with accuracy and confidentiality.
- Serve as a backup for the account manager role when needed, including checking emails, voicemails, and making sound business decisions that may impact the account manager's portfolio.
- Provide support to the estimating department as required, contributing to a collaborative team environment.
- Perform additional tasks and special projects as assigned by the Director of Sales.
- Adhere to all arenaflex Safe-Well policies and procedures, maintaining a safety-first mindset at all times.

Essential Qualifications
Education
- High School Diploma or General Education Degree (GED) — Required
- Associate's Degree (two-year college or technical school) — Required
- A Bronze designation on ACT will be considered in lieu of a high school equivalency — Required
Experience
- Minimum of two (2) years of professional experience in customer service, order processing, sales support, or a related administrative role.
- Prior experience working in a manufacturing, distribution, or production-driven environment is highly desirable.
Computer Skills
- Proficiency in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with ERP or order management systems is a strong plus.

Physical Requirements
This is primarily a manufacturing office environment that is climate controlled. The role requires the ability to:
- Sit frequently and stand or walk occasionally throughout the workday.
- Manually manipulate materials and documents as needed.
- Reach outward and above shoulder on occasion.
- Lift and carry up to 20 pounds occasionally.
- Wear personal protective equipment (PPE) as needed.
Vision requirements include the ability to see near and distinguish colors, and a satisfactory sense of sound is required for daily communication.
Work Schedule and Location
- Schedule: Full-time, Monday through Friday, 8:00 AM – 5:00 PM
- Work Location: In person at our climate-controlled manufacturing office
- Travel: Minimal
