Position Summary

The Customer Service Representative at arenaflex is responsible for ensuring each customer enjoys a seamless, pleasant, and professional experience at our facility. This role goes beyond traditional receptionist duties – it is a hospitality-centered position that requires anticipating needs, proactively offering services, and acting as a concierge for the aviation community. Every customer request should be handled in a timely, courteous, and professional manner, reflecting the high standards arenaflex is known for. The successful candidate will serve as the first point of contact for all visitors, embodying the warm, welcoming atmosphere that defines our brand.

Key Responsibilities

Front-Line Customer Engagement

  • Warmly greet all arriving and departing customers, creating a positive first impression of arenaflex.
  • Act as the primary point of contact for visitors, ensuring they are directed to the appropriate personnel and departments.
  • Provide exceptional hospitality by anticipating customer needs and proactively offering relevant services and amenities.
  • Serve as a knowledgeable resource about the full range of services arenaflex provides, including maintenance, avionics, line service, and charter support.

Communication & Coordination

  • Answer incoming telephone calls promptly and professionally, taking and relaying messages to appropriate personnel in a timely manner.
  • Communicate service requests efficiently to personnel in Line Service, Maintenance, and Avionics departments via telephone and two-way radio.
  • Document service requests by completing detailed aircraft arrival forms with accuracy and attention to detail.
  • Facilitate clear and timely communication between customers, vendors, and internal teams.

Travel & Logistics Support

  • Coordinate customer lodging accommodation requirements, partnering with local hotels to secure the best options for visiting crews and passengers.
  • Ensure rental cars are reserved, on-site, cleaned, and ready prior to customer arrival, coordinating with rental agencies as needed.
  • Arrange catering requests for both customers and visiting vendors, maintaining relationships with preferred providers.

Administrative & Documentation Duties

  • Maintain accurate records of customer interactions, aircraft arrivals, and service requests.
  • Process incoming and outgoing correspondence professionally.
  • Support general office administrative functions as needed to ensure smooth daily operations.

Essential Qualifications

  • Minimum of two (2) years' experience in a customer service role, preferably in aviation, hospitality, luxury retail, or a related field.
  • Demonstrated ability to deliver high-quality service in a fast-paced, customer-facing environment.
  • Strong verbal and written communication skills with a professional and friendly telephone manner.
  • Proficiency with standard office equipment, multi-line phone systems, and basic computer applications.
  • Excellent organizational skills and the ability to manage multiple priorities simultaneously.
  • Strong problem-solving abilities and a proactive approach to anticipating customer needs.

Preferred Qualifications & Attributes

  • Previous experience in an FBO (Fixed-Base Operator), airport, or aviation services environment is highly desirable.
  • Familiarity with two-way radio communication and aviation terminology.
  • Experience coordinating travel logistics, including lodging, ground transportation, and catering.
  • Comfort working evening and weekend shifts in a customer-facing environment.
  • A genuine passion for aviation and hospitality industries.
  • Ability to remain calm, professional, and solution-oriented under pressure.

Other Prerequisites

  • Must pass a pre-employment drug screen and background check in compliance with arenaflex policy.
  • Must possess (or be able to obtain) an Airport-Issued security badge.
  • Must hold a valid driver's license with a clean driving record.
  • Availability to work the scheduled shift: Thursday through Monday, 1:00 PM to 9:00 PM.

Work Environment & Physical Requirements

This position is performed in a professional office environment with a moderate noise level typical of an active aviation facility. The role requires:

  • Constant repetitive movement of the wrist, hands, and/or fingers (typing, data entry, radio communication).
  • Clear vision to read printed materials, computer screens, and aircraft documentation.
  • Ability to stand, walk, and move throughout the facility as needed.
  • Occasional lifting of light materials (up to 25 pounds) such as catering supplies, luggage, or office materials.
  • Comfort interacting with customers, vendors, and team members in person, by phone, and via two-way radio.
