About the Role
The Overnight Customer Care Specialist is a critical member of the arenaflex team, serving as the very first voice our clients hear when they call. You will be responsible for managing a high volume of inbound calls, providing thoughtful and accurate responses, scheduling appointments, and ensuring every interaction reflects the high standards of service our clients have come to expect from arenaflex.
This is a fully remote, full-time position working 40 hours per week during overnight hours from 11:00 PM to 7:00 AM Eastern Standard Time. You must be available to work some weekends, or in some cases every weekend, within the same overnight window. Because our clients depend on us around the clock, your consistency and reliability during these hours directly impacts the experience they have with arenaflex.
Key Responsibilities
- Call Handling and Communication: Serve as the first point of contact for all inbound calls, communicating clearly and precisely to ensure clients fully understand the information and support being provided. You will handle a wide range of inquiries with patience, accuracy, and care.
- Platform Mastery: Utilize the Pinnacle or Amtelco platform to manage calls efficiently, log interactions accurately, and ensure every caller is routed or supported correctly. Full training will be provided, but the ability to learn software systems quickly is essential.
- Customer Support and Inquiry Resolution: Offer comprehensive support to callers by actively listening, understanding their needs, answering their questions, and providing accurate information in a way that builds trust and confidence.
- Appropriate Direction of Inquiries: Assess each call and direct it to the appropriate department or individual, ensuring swift resolution and high levels of customer satisfaction. Knowing when to escalate versus when to resolve is a key part of this role.
- Appointment Setting and Scheduling: Schedule consultations between callers and clients with precision, ensuring appointments are set with the appropriate person, for the correct reason, and for the appropriate amount of time. Maintain strict procedures for every account to ensure timely and accurate booking.
- Account Knowledge: Before taking any calls, ensure you have a full understanding of all customer accounts. Raise any concerns or questions with your supervisor before calls go live to avoid errors and ensure smooth experiences.
- Customer Experience Excellence: Constantly deliver outstanding customer experiences while efficiently processing appointments and inquiries. Strive to make every caller feel heard, respected, and valued.
- Situation Assessment: Quickly discern caller situations, demonstrating empathy, active listening, and problem-solving skills to address their needs effectively and professionally.
- Quality Assurance Compliance: Adhere to arenaflex’s Quality Assurance policies, ensuring all interactions meet company standards for quality, professionalism, and accuracy. Engage in continuous self-improvement based on feedback and performance reviews.
- Additional Duties: Take on other responsibilities as needed to support the team and contribute to the overall success of the arenaflex Customer Contact Center. Flexibility and a team-first mindset are highly valued.

- Platform Proficiency: Familiarity with the Amtelco platform is a plus, but the ability to learn new systems efficiently is essential.
- Problem-Solving Attitude: Optimistic, creative, and resourceful when faced with challenging situations or difficult calls.
- Remote Work Discipline: Demonstrated ability to work independently in a remote environment with high dependability, self-motivation, and minimal supervision.
- Continuous Learning: Enthusiastic about personal and professional growth, open to feedback, and driven to continuously improve.
- Technical Proficiency: Familiarity with contact center software and the Microsoft Office suite is a plus.
- Bilingual Skills: Being bilingual is a plus and may increase your opportunities within arenaflex.
Education and Experience
- Required: High School Diploma or GED equivalent.
- Preferred: Prior call center experience, though not required. We welcome candidates who are eager to learn and grow within the role.
Computer and Technical Requirements
Because this is a fully remote position, you must have your own equipment that meets the following requirements:
- A personal PC or laptop running Windows 10 or Windows 11 (Chromebooks and Mac PCs are not accepted)
- At least 8GB of RAM storage
- A wired USB headset
- A functional webcam
- Reliable, high-speed internet access

While performing the duties of this role, the employee will regularly be required to:
- Sit for extended periods of time
- Engage in repetitive motion, including typing
- Use extensive verbal communication and active listening with callers
- Read fine print on colored screens
- Talk and hear clearly through a headset
