Position Overview
The Remote Data Entry and Administrative Operations Specialist provides essential technical, operational, and administrative support to the leadership team at arenaflex, including the Director of Professional Learning, the Executive Director, and the Director of Certification & Compliance. This role is central to the smooth execution of professional learning programs, reimbursement workflows, teacher certification and recertification processes, and stakeholder communications across our statewide charter school network.
Working in a hybrid remote capacity based out of our Doral, FL location, the successful candidate will balance independent data management responsibilities with collaborative engagement across departments. Key Responsibilities
Data Entry, Reporting, and Document Management
- Accurately enter, update, and maintain data related to professional learning activities, reimbursement procedures, and certification processes across multiple internal systems.
- Organize, archive, and manage digital and physical records to ensure that documents are properly stored, easily retrievable, and compliant with state and organizational policies.
- Generate routine and ad-hoc reports capturing professional learning activities completed by network schools, summarizing key metrics for leadership review and decision-making.
- Perform regular data quality checks to identify inconsistencies, correct errors, and uphold the integrity of organizational databases.
- Maintain confidentiality and security of sensitive information, including educator records, certification documents, and financial reimbursement data.
Stakeholder Communication and Support
- Serve as a primary point of contact for school leaders, teachers, and other stakeholders, responding promptly and professionally to inquiries about professional learning programs, certification requirements, and reimbursement procedures.
- Communicate clearly and compassionately with educators navigating certification and recertification processes, providing status updates and guidance throughout each stage.
- Collect and review required documentation for reimbursement submissions, ensuring completeness and accuracy before escalation to leadership.
- Provide responsive technical and procedural support to team leaders and stakeholders, troubleshooting issues and escalating concerns as appropriate.
Administrative and Operational Support
- Assist the Director of Professional Learning and other team leads in the development, coordination, and implementation of professional learning initiatives and events.
- Support the Executive Director in organizing documents, preparing reports, drafting communications, and managing calendars to ensure seamless daily operations.
- Facilitate the teacher recertification process by collecting and processing applications, tracking critical deadlines, and communicating timely status updates to applicants and leadership.
- Coordinate scheduling for meetings, webinars, and trainings, including preparing agendas, taking notes, and distributing follow-up materials.
- Perform general office tasks such as preparing correspondence, managing supplies, and supporting special projects as assigned.
Technical Support and System Management
- Provide frontline technical support to staff and stakeholders using online platforms for professional learning proposal submissions, completion tracking, and reimbursement management.
- Assist in administering and maintaining digital systems and tools used to deliver professional learning and certification services, coordinating with vendors or IT contacts when issues arise.
- Develop user-friendly guides, quick-reference documents, and FAQs to support stakeholders in navigating online systems.
- Identify opportunities to streamline workflows, automate repetitive processes, and improve overall data accuracy and reporting efficiency.
Collaboration and Cross-Functional Teamwork
- Collaborate with multiple departments across arenaflex to ensure that professional learning programs align with state requirements, organizational goals, and partner school needs.
- Work closely with the Executive Director, Director of Professional Learning, and Director of Certification & Compliance to support the delivery of high-quality services to schools.
- Prepare polished reports, executive summaries, and presentation materials for internal leadership meetings and external stakeholder engagements.
- Contribute to a culture of continuous improvement by sharing insights, recommending process enhancements, and supporting team-wide initiatives.
Qualifications
Education
- High school diploma or equivalent required.
- An associate’s degree or additional postsecondary training in office administration, data management, business operations, or a related field is strongly preferred.
Experience
- Previous experience in data entry, office administration, or a similar operational support role is preferred.
- Experience working in an educational environment, charter school network, or organization supporting professional development is a meaningful plus.
- At least one year of experience using Microsoft Excel for data tracking and reporting is preferred.

Compensation and Benefits
