Key Responsibilities of the Customer Service Advisor Role

As a Customer Service Advisor working from home with arenaflex, your primary responsibility will be handling inbound calls from members of the public in a courteous, efficient, and accurate manner. Your day-to-day duties will include, but are not limited to, the following:

  • Handling Inbound Calls: Receiving and managing a steady flow of incoming calls from members of the public who require appointments following a referral. Each call is an opportunity to deliver outstanding service and leave a positive, lasting impression.
  • Booking Appointments: Accurately scheduling new appointments on the company booking system, ensuring all relevant details are captured correctly and the customer is fully informed about what to expect next.
  • Rescheduling Appointments: Assisting customers who need to change existing appointment times, identifying suitable alternatives, and updating records promptly to avoid any disruption to service delivery.
  • Cancelling Appointments: Processing appointment cancellations efficiently and professionally, capturing reasons where appropriate, and ensuring the booking system reflects accurate, up-to-date information at all times.
  • Delivering Excellent Customer Service: Consistently providing a polite, professional, and empathetic telephone manner that puts callers at ease, particularly those who may be anxious, frustrated, or unfamiliar with the process.
  • Maintaining Accuracy: Demonstrating a high regard for efficiency and accuracy in every interaction, paying close attention to detail when inputting data and following established processes and compliance guidelines.

Essential Qualifications and Experience

To be considered for the Customer Service Advisor role at arenaflex, candidates must demonstrate the following:

  • Previous Customer Service Experience: A minimum of six months' experience in a customer-facing role, whether in a contact centre, retail, hospitality, or office-based environment. Experience handling inbound calls is highly desirable.
  • Excellent Communication Skills: Strong verbal communication skills with a clear, professional, and friendly telephone manner. You must be confident speaking with a wide range of people from diverse backgrounds.
  • Empathy and Patience: A genuine ability to empathise with callers, listen actively, and respond with understanding — even in challenging or emotionally charged situations.
  • IT Literacy: Comfortable using computers, navigating multiple systems simultaneously, and learning new software applications quickly. Basic proficiency in Microsoft Office (Word, Outlook, Teams) is expected.
  • Reliable Home Working Setup: A quiet, private workspace within your home, a reliable broadband connection, and the ability to maintain focus and productivity in a remote environment.
  • Right to Work in the UK: You must have the legal right to live and work in the United Kingdom.
  • Availability: Flexibility to work full-time hours, including occasional evenings or weekends depending on business needs.

Preferred (But Not Essential) Qualifications

While not required, the following attributes would make you an exceptional candidate:

  • Previous experience in a remote or home-based customer service role.
