We are currently seeking a meticulous and dedicated Data Entry Clerk – Dental & Laboratory Handpiece Service Operations Specialist to join our growing team. This role plays a critical part in ensuring the seamless flow of work order processing, warranty verification, and customer service support within our Managed Services Operations (MSO) division. Position Overview

The Data Entry Clerk will be responsible for processing work orders related to dental and laboratory handpieces, verifying warranty claims, and ensuring that all data is entered accurately into our internal software systems. This position requires a keen eye for detail, strong organizational skills, and the ability to manage multiple tasks in a fast-paced office environment. In addition to core data entry duties, this role will also serve as a backup to our Customer Service Representatives during periods of high call volume, making it an excellent opportunity for individuals who enjoy variety in their daily responsibilities.

Key Responsibilities

  • Work Order Processing: Accurately enter work orders for dental and laboratory handpieces into the company’s proprietary software systems, ensuring all fields are completed correctly and in a timely manner.
  • Warranty Verification: Review incoming work orders to verify customer warranty claims, cross-referencing information with vendor records and internal databases to confirm eligibility and accuracy.
  • Vendor Warranty Management: Complete warranty work for various vendors, specifically tracking items to ensure accuracy and compliance with vendor requirements and company standards.
  • Data Integrity and Accuracy: Maintain a high standard of data integrity by carefully reviewing entries, correcting discrepancies, and flagging any issues that may require further investigation.
  • Customer Service Support: Act as a backup to the Customer Service Representatives by assisting with overflow telephone calls during periods of high call volume, providing courteous and professional support to clients.
  • Microsoft Office Utilization: Work proficiently with Microsoft Office applications, including Word and Excel, to create documents, manage spreadsheets, and support reporting needs.
  • Special Projects: Participate in special projects and perform other duties as required, contributing to the continuous improvement of departmental processes and workflows.

Essential Qualifications

  • Educational Background: High School diploma or equivalent is required.
  • Microsoft Office Proficiency: Previous experience using Microsoft Office applications, including Word and Excel, is strongly preferred.
  • Relevant Work Experience: Prior experience in a data entry, administrative, or office support role is desired, though not mandatory for candidates who demonstrate strong aptitude and willingness to learn.
  • Reading Comprehension: Ability to read, understand, and follow standard procedures, work instructions, and written guidelines with accuracy.
  • Mathematical and Logical Skills: Basic math and logic skills are required to perform calculations, verify data, and ensure accuracy in work order processing.
  • Computer Literacy: Basic computer skills, including proficiency with email, document preparation, and spreadsheet management, are essential for success in this role.

Physical and Environmental Requirements

This position is based in a typical office environment where environmental conditions are stable and conducive to focused work. While performing the duties of this role, the employee will routinely be required to sit for extended periods of time, use hands to keyboard, finger, handle, and feel; stoop, kneel, crouch, twist, reach, stretch, and lift up to 15 pounds. Travel is typically not required for this position, allowing for a consistent and predictable work schedule.
