Job overview - Expert Executive Assistant

Mindmaven is an Executive Coaching firm that focuses on coaching CEOs, Founders, and other top executives of startup and VC companies across the U.S. We are helping our clients find Executive Assistant Rock Stars who - with training – will become Engagement Managers (a hybrid of an EA and Chief of Staff). While we do place many people in remote roles, please note that this posting is for an onsite/hybrid role in San Francisco, California. You would be required to come into the office 3-4 times a week. The starting salary for this role is $85-105k with opportunities to grow. The person who holds this position is the extension of the person(s) they support and establish themselves as a strategic partner. The position is hybrid, so you’ll need a great computer, strong internet, and the ability to keep both running.

Responsibilities include

Usual and customary EA daily, weekly, and monthly tasks that include

  • Task and Time Management

  • Calendar Management

  • Meeting Management

  • Email Management

  • CRM Management

  • Research Management

  • Projects

  • Other tasks as identified by the executive

Qualifications

  • Have a minimum of 1 year of Executive Level Administrative support experience preferably in a Financial, Tech, Legal, VC and/or start up setting

  • Able to work in the U.S. (we do not offer visa sponsorship)

  • A minimum of 1 years’ experience working remotely (Required)

  • Fluent in English written and spoken – (Required)

  • Intermediate proficiency with MS Suites, Google Suites - (Required)

  • Experience with Asana, Slack, and Zoom (Highly desired)

  • Proficient in any other software necessary to effective complete tasks in a remote setting – (Highly desired)

  • Master of Outlook or Gmail Email and Calendar – (Required)

  • Type a minimum of 60 WPM – (Required)

  • Experience with Travel arrangements (domestic and international) – (Required)

  • Dictation transcription (Highly Desired)
