Position Summary

We are currently hiring a Remote Data Entry Clerk – Administrative Support Specialist to support our dynamic administration team. Reporting to the Administration Manager, you will be responsible for updating and maintaining information in our proprietary databases, preparing critical documentation, liaising with internal and external stakeholders, and ensuring the integrity of client files throughout the debt resolution process. This role is fully remote, allowing you to work from the comfort of your home while contributing to a collaborative, high-performing national team.

The ideal candidate is a self-starter with an unwavering commitment to accuracy, exceptional organizational skills, and the ability to manage multiple priorities in a fast-paced environment. You will work with tools such as Microsoft Dynamics CRM, Ascend (our internal case management software), Microsoft Office Suite, and DocuSign, among others. Prior experience with these platforms is beneficial but not required, as we provide comprehensive onboarding and ongoing training.

Key Responsibilities

As a Remote Data Entry Clerk at arenaflex, your core duties will include, but are not limited to, the following:

  • Documentation Preparation and Filing: Preparing documentation for filing and associated correspondence, ensuring all materials are accurate, complete, and properly formatted in accordance with arenaflex's established protocols and naming conventions.
  • Information Gathering and Verification: Obtaining all proper supporting information and documentation to ensure the proper and efficient administration of each file, including but not limited to income verifications, tax filings, and asset realization records.
  • Stakeholder Communication: Responding in a timely and professional manner to ongoing queries and requests from creditors, debtors, and other parties involved in the debt resolution process.
  • CRM Data Management: Using Microsoft Dynamics CRM to extract file details, update records, and ensure all client information is current and accurately reflected in the system.
  • File Review and Follow-Up: Preparing and reviewing files for completeness, identifying outstanding documents, and proactively following up with relevant parties to resolve deficiencies.
  • Internal Liaison and Collaboration: Liaising with the administration team, including assisting with obtaining information, documentation, and following up on complex issues where input and interpretation are requested.
  • Document Organization: Organizing file documents in strict accordance with arenaflex's naming protocols, ensuring consistency and accessibility for all team members.
  • Financial Calculations: Calculating income and surplus income obligations with precision, applying relevant formulas and provincial guidelines to produce accurate results.
  • Legal and Regulatory Compliance: Understanding and performing relevant legal requirements across multiple provincial jurisdictions, including conducting searches for insolvency records, Personal Property Security Act registrations, house valuations, and computing realizable asset values.
  • Document Creation and Execution: Creating all documents required for client signature, preparing documents for DocuSign, and ensuring all materials are ready for electronic execution and filing.
  • Quality Assurance and Policy Compliance: Reviewing sign-up documents for accuracy and policy compliance, filing documents with the Official Receiver ("OR"), and reviewing amended proposals to ensure regulatory adherence.
  • Data Transfer and Entry: Accurately transferring pertinent information from written and scanned records into Ascend, our internal case management software.
  • Confidentiality and Data Protection: Maintaining client confidence and protecting operations by keeping all sensitive information strictly confidential in accordance with arenaflex's privacy policies and applicable legislation.
  • External Client Liaison: Liaising with external clients for clarification or to obtain outstanding documents, always representing arenaflex with professionalism and empathy.
  • Electronic Filing: Performing electronic filing of statutory documents with relevant government bodies and regulatory offices.
  • Additional Duties: Performing other tasks as assigned by management to support the overall efficiency and success of the administration team.

Essential Qualifications and Experience

To be considered for the Remote Data Entry Clerk position at arenaflex, candidates must demonstrate the following:

  • Proven Data Entry Experience: Demonstrated experience performing high-volume data entry with a proven track record of exceptional accuracy and speed.
  • Detail Orientation: An extreme attention to detail with the ability to identify discrepancies, errors, and inconsistencies in documentation and data.
  • Organizational Skills: Exceptional organizational and prioritization skills, with the ability to manage multiple files, deadlines, and competing priorities simultaneously.
  • Technical Proficiency: Strong technical skills and high proficiency with the Microsoft Office Suite, including Outlook, Excel, and Word. Must be comfortable learning new computer software quickly and independently.
  • Independent Work Ethic: The ability to work independently and efficiently in a remote setting, demonstrating self-motivation, discipline, and accountability.
  • Communication Skills: Strong written and verbal communication skills, with the ability to convey information clearly, concisely, and professionally to a variety of audiences.
  • Interpersonal Skills: Good interpersonal skills and the ability to collaborate effectively with team members, clients, and external stakeholders across multiple provinces.

Preferred Qualifications and Assets

While not strictly required, the following qualifications will be viewed favourably:

  • Prior experience with Microsoft Dynamics CRM or similar customer relationship management platforms.
  • Familiarity with Ascend or other case management / insolvency administration software.
  • Experience working in debt solutions, insolvency, legal, financial services, or accounting environments.
  • Knowledge of provincial legal requirements related to insolvency, bankruptcy, consumer proposals, and tax matters.
  • Experience with DocuSign or other electronic signature platforms.
  • Bilingualism (English and French) is a strong asset, given our national presence.
